What will you do?

-Effectively manage a team of 6

In your new job as a Facilities Manager, you will manage hard & soft services scope (technical, cleaning, archiving, pest, catering & estates).

The role holder will manage a team of approx. 30 people plus sub-contractors, ensuring that an effective and efficient service is delivered and maintained and that service levels are in line with the contractual CI's, KPI's and PI's. You'll also monitor and control supplier, sub-contractor and labour costs to ensure financial targets are achieved. Building a strong working relationship with internal and external customers including sub-contractors is important in this role, to ensure that all services are delivered in a professional, timely and cost-effective manner.

You'll be responsible for compiling accurate management information/reporting as required and submit in a timely manner to appropriate stakeholders, and play a key role to support any site audits, including but not limited to, quality, health and safety, environmental and finance.

The successful Facilities Manager will have experience of FM project delivery, including an awareness of CDM regulations and proven success in an operational manufacturing environment, worked within process-led, regulated organisations and/or industries. You will hold a suitable Health and Safety certificate (IOSH Managing Safely or similar) and Knowledge of Quality Management Systems is extremely desirable.

The Role

You’ll be able to demonstrate experience of managing projects through the project lifecycle from concept to handover, with:

- Experience of the pre-tender and tender stages of procuring contracts for the design and installation of industrial equipment.
- Experience of managing contractors, consultants and other advisors throughout large and complex construction projects, in a regulated environment.Having a record of delivering complex, large scale projects, whilst ensuring high levels of safety, security and environmental responsibility ideally within the Nuclear Energy sector or similar regulated environment, is necessary.

• Degree or Diploma in Electronics or Electrical Engineering or equivalent
• At least 4 – 6 years of sales & marketing experience, preferably from industrial equipment industry.

The Role

This position will be responsible for supporting the administrative services in the planning, organising, and implementing various administrative functions and initiatives in the Corporate Real Estate (CRE) function.

Job Responsibilities

• Coordinate and manage all aspects of CRE activities, including facilities management, lease management, workplace safety and security
• Support CRE-related administrative activities such as granting physical access to the Singapore offices, creating access pass, creating new access groups, overseeing maintenance of the physical security systems, assisting in extracting physical security reports, performing annual validation checks and reviewing security video footages
• Conduct inspection of facilities within corporate offices, and liaise with technical team to rectify any faults.
• Ensure smooth operation and maintenance of the audio visual (AV) system, whilst keeping an up-to-date inventory for auditing purposes.
• Assist the department the various activities related to Business Continuity Plan (BCP) and fire safety programmes
• Participate in planning, execution and completion of outfitting projects for both local and overseas offices, ensuring adherence to budget, schedule, and quality standards.
• Support in space planning drafting using AutoCAD.
• Attend to complaints/feedback promptly.
• Raise work orders and track the status of the work orders to ensure timely completion.
• Prepare requirement specifications for procurement-related contracts (General, CRE and ad-hoc A&A work).
• Assist in the asset management under the care of the department including periodic asset verifications.
• Assist in ad hoc projects from time to time, including rendering assistance to the department’s other sections (Procurement & Services, and Office Administration) as and when required

Job Requirements

• Degree in Administration, Building or Facilities related disciplines.
• Minimum 5 years of managerial experience in administration, office management or facilities management.
• Knowledge in building and M&E systems.
• Candidate who are proficient in AutoCAD will be an advantage.
• Experienced in leading teams and possess excellent planning and organisational skills.
• Possess good interpersonal skills and communication.
• Able to adapt to frequent shifting priorities in a fast-paced environment.

• Maintain yard machineries, equipment and facility at optimum level without compromising safety and environmental conditions.
• Preparing and reviewing work schedules and preventive maintenance.
• Delegating work responsibilities.
• Setup, review and update the organizational procedures.
• Verifying daily maintenance activities and the quality of work.
• Reviewing maintenance reports according to maintenance plan.
• Monitor and review maintenance staff performance.
• Involve Facility and Maintenance activities and Decision Making.
• Ensures equipment availability is adequate to meet the project plan.
• Hiring new maintenance professionals.
• Engaging service providers and contractors for specialized works.
• Attend internal department meetings, safety committee meeting, operation meeting and client meetings.
• Execute internal pre-auditing and support internal, external audits.
• Motivate maintenance staff and plan for improvements.
• Monitor of the worker overtime man hours and implement the necessary measures to control.
• Issue letters to contractors if equipment / machineries are damaged during contractor’s rental period. Damages to be back charge to contractors.
• Allocate and approve the yard storage space request for module fabrication works.
• Approve the purchase request of new spare parts & equipment’s.

JOB REQUIREMENT:

• Degree / Diploma in Electrical and Electronics Engineering
• Minimum of 10 years of maintenance working experience in marine shipyard industry
• Hands on experience in welding machine and CNC plate cutting machine troubleshooting works
• Highly motivated individuals with good organizational skills and leadership skills.
• Able to adapt new work environment and able to lead independently.
