ADMIN OFFICER (Multiple Vacancies)

The overall responsibility includes supporting and assisting Executive and Manager in in day-to-day operations, in recruitment, trainings, events and examinations.


Detailed Job Description

Assist and support Team Lead and Head of Department in day-to-day coordination of recruitment, scholars management, trainings, events, and examinations which includes but not limited to;


A.     Trainings, Events & Exams (2 vacancies)

·        Prepare training/exam scheduling and timetabling;

·        Invigilate during the exam sessions;

·        Prepare welcome kits, learning materials and relevant documents for events;

·        Coordinate events and trainings activities such as collecting and compiling scholars’ check-in and check-out attendance for accommodation, scholars’ attendance for all modules and activities, scholar’s assessments and scholar’s feedback on events;

·        Send online materials to scholars who could not attend the training;

·        Ensure that all details for events are updated in the online system;

·        Prepare comprehensive report for clients.


B.     Recruitment (1 vacancy)

·        Assist in recruitment timeline planning;

·        Coordinate Assessment and Selection activities such as filtering, assessment, interview, data entry, Decision Tree preparation, follow-up calling, documents collection and verification;

·        Assist in the arrangement of logistics;

·        Prepare attendance list and other relevant documents for assessment and interview;

·        Perform invitation emailing and compilation of attendance confirmation via emails and telephone; 

·        Engage interviewers for recruitment process;

·        Data entry of all information gathered;

·        Assist in compilation and producing of report for client;

·        Work closely with institutions/Tuition Service Providers (TSP) to coordinate the recruitment process;

·        Involve in company’s business development planning, preparation and execution;

·        Assist in company’s marketing and promotion activities/events;

·        Assist in preparing comprehensive report for clients.


C.     Scholars Management (2 vacancies)

·        Update and ensure accuracy of all scholar’s information as per the timeline stated in the SOP;

·        Liaise with institutions on scholars’ registration and enrolment, academic results, accommodation, invoices and other relevant matters;

·        Ensure a complete set of updated timetables, scholar’s results and attendance is accessible to all;

·        Ensure all scholars’ requests and enquiries are handled and replied to as stated in the SOP. All emails are replied to as per the timeline stated in the SOP;

·        Provide administrative assistance for client’s ad-hoc/requests related to scholars;

·        Prepare monthly and yearly reports to client.



·        At least bachelor’s degree or equivalent preferably in Administrative Science, Office Management, Business Admin, Library Management, Mathematics, Event Management;

·        To work in a team, supporting team members in all relevant duties and tasks;

·        Be involved in related activities/events as and when required by the Management;

·       Attention to details, meticulous, good attitude, willing to learn, good communication skills and receptive to feedback and continuous improvement;

·       Confident, proactive and energized;

·       Required skill(s): MS Office, in particular, Microsoft Excel and PowerPoint;

·       Must be willing to travel, work irregular hours and weekends frequently.
