- Answer incoming telephone calls from hunting line and direct to relevant staff/department
- Greet and welcome all company visitors and manage all aspects of the front desk in a professional and polite manner
- Collect mails from mailbox at CC floor, manage incoming and outgoing mails and pigeon hole
- Arrange incoming and outgoing couriers.
- Manage office/mailroom cleanliness and tidiness
- To send memo of office closure to all employees in MY and SEA
- Prepare Purchase orders / Requisition using SAP system (Onesource and Redsoft)
- Manage and verify vendors’ invoices, then forward to Finance for timely payment.
- Manage purchase and replenishment of office, stationery and pantry supplies.
- Consolidate employees' request for stationery, name cards, etc and arrange replenishment /printing with approved vendors.
- Monitor the contracted/approved vendor services (e.g. cleaner, pest control, plant nursery, pantry sink, etc).
- Prepare and update monthly admin reports
- Coordinate new hire boarding checklist and resigned staff exit checklist for admin related matters
- Manage all office facilities-related matters including security and safety measures
- Support company activities, meetings and other key activities
- Provide general support and other admin duties assigned by Business Admin Manager
- Diploma or degree in secretarial, business studies preferred
- Minimum 3-5 years of office administrative or related work experience in corporate office environment
- Good computer literacy and skills especially with Microsoft applications (e.g. outlook, Excel and Words)
- Good communication skills and telephone manners
- Ability to work autonomously and under minimum supervision
- Ability to maintain confidentiality and discretion
