Receptionist cum Admin Executive (4 Months Contract)

  • Answer incoming telephone calls from hunting line and direct to relevant staff/department
  • Greet and welcome all company visitors and manage all aspects of the front desk in a professional and polite manner
  • Collect mails from mailbox at CC floor, manage incoming and outgoing mails and pigeon hole
  • Arrange incoming and outgoing couriers.
  • Manage office/mailroom cleanliness and tidiness
  • To send memo of office closure to all employees in MY and SEA
  • Prepare Purchase orders / Requisition using SAP system (Onesource and Redsoft)
  • Manage and verify vendors’ invoices, then forward to Finance for timely payment. 
  • Manage purchase and replenishment of office, stationery and pantry supplies.
  • Consolidate employees' request for stationery, name cards, etc and arrange replenishment /printing with approved vendors.
  • Monitor the contracted/approved vendor services (e.g. cleaner, pest control, plant nursery, pantry sink, etc).
  • Prepare and update monthly admin reports
  • Coordinate new hire boarding checklist and resigned staff exit checklist for admin related matters
  • Manage all office facilities-related matters including security and safety measures
  • Support company activities, meetings and other key activities  
  • Provide general support and other admin duties assigned by Business Admin Manager

Requirements :

  • Diploma or degree in secretarial, business studies preferred
  • Minimum 3-5 years of office administrative or related work experience in corporate office environment
  • Good computer literacy and skills especially with Microsoft applications (e.g. outlook, Excel and Words)
  • Good communication skills and telephone manners
  • Ability to work autonomously and under minimum supervision
  • Ability to maintain confidentiality and discretion
