THE JOB:

  • To answer, screen phone calls and taking messages.
  • To provide reception services in a pleasant, composed manner to all visitors and guests.
  • To maintain calendar and follow the time-bound schedule and enlist appointment accordingly.
  • To co-ordinate in preparation for business travel needs, eg. flight, hotel bookings, visa application and itinerary.
  • To take note, write, edit and disseminate information through presentation, spreadsheets, letters, mails, minutes of meeting, memos and itineraries in English and Bahasa Malaysia.
  • Execute and organize for documentation including recording, movement, tracking and retrieving records in a timely manner.
  • To maintain utmost level of professionalism when dealing with highly and strictly confidential documents.
  • To prompt, follow through and reminder emails for all outstanding matters.
  • Handling office supplies stock and place orders as required.
  • To ensure the communication line between Top Management, HOD and its appropriate party is communicated efficiently.
  • Perform other job-related duties as assigned by Superior.

THE INCUMBENT:

  • Possess a Diploma, Advanced/Higher/Graduate Diploma in Business Studies/Administration/Management, Secretarial or equivalent.
  • Excellent command of both written and spoken in English and Bahasa Malaysia.
  • Proficiency in MS Office with exceptional knowledge of Word, Excel and computer literacy.
  • General knowledge of office management practices and procedures.
  • The ability to collect data and define circumstances.
  • Strong interpersonal and organizational skills with the excellent time management skills, ability to prioritize daily workload, multitasking, resourceful, detail-oriented, proactive, independence and sense of urgency.
  • A mature, pleasant personality and positive attitude with a high level of integrity and responsibility, discretion and confidentiality.
