PURCHASING ASSISTANT

EXPERIENCE/SKILL

• Required language: Bahasa Malaysia and English. Speak, read and write in English is a must.
• Proficient in use of MS Office Applications.
• Passionate to work, Meticulous with a positive attitude and teamwork spirit.
• Excellent communication & negotiation skills with suppliers and internal customers.
• Resourceful, self-driven, proactive and independent
• Able to work well under stress in a fast-paced environment

RESPONSIBILITIES

• Seek reliable vendors or suppliers to provide quality goods at reasonable prices.  Maintain contacts with vendors or suppliers regarding orders, market conditions and trends.
• Assist in monitoring all Purchase Requisition receive and request for quotation and place order accordingly from both local and oversea vendors.
• To assist in negotiating for the best prices and payment term while maintaining the highest level of quality, reliability and services 
• Determine the timing of deliveries, ensure on-time deliveries and quality of goods and if in doubt, consult the Purchasing Officer for further advise.
• Prepare Purchase Orders for all items and arrange delivery of all Purchase Orders to respective suppliers.
• Follow up closely with supplier(s) in providing required documents of materials purchased in compliance with established policies & regulatory guidelines, such as Halal certificates, Product Specifications, Process Flow Chart etc, and update respective records accordingly
• Ensure ISO requirements and documentation are properly maintained, inclusive of updating approval vendor list, arranging for yearly vendor performance assessment, maintaining all required ISO documents etc.
• Liaison with Store personnel for any cargo delivery/collection to/from Store premises
• To undertake any other jobs directed by superior from time to time
