Job Responsibilities :

  • Act as receptionist and handle all front desk activities in accordance with established guidelines and etiquettes.
  • Maintain a list of regular and important callers and phone numbers and place calls to them for company staffs.
  • Courteous receiving of all customers & visitors not limited to preparation of drinks & booking for lunch and taxi.
  • To receive and send faxes and filing of faxes.
  • To prepare all cheque requests for:- PBA, TNB, Telekom, Canteen, Contractors for Contract workers for monthly basis, Gas Malaysia & etc.
  • Handling all incoming cheque from Finance-KL.
  • Call vendors or suppliers for cheque collection.
  • Filing all HR & Admin documents orderly with numberings and labels according to ISO standard.
  • Issue stationary items to requestors and update inventory in timely manner; raise PR to Procurement Department.
  • Process mail and courier packages including receiving, sorting, time stamping, logging, and distributing incoming and outgoing correspondence and packages. Make copies correspondences where necessary; maintain records for traceability purpose.
  • Update & maintain record for all the company‚Äôs outgoing mails, utility bills, invoices & etc. Send the documents, invoices, bills, original utility bills and etc. to KL office for cheque requisition.
  • Maintain adequate inventory of stationary items, pantry supplies, toiletries (cleaning aids, tissue roll, air refreshment etc) & staff uniform for Prai plant.
  • Perform bank-in of cheques, bill payments & etc.
  • Handling of staffs & workers birthday list & liaise with cake house to make sure they send out the cakes on time.
  • Place & record all long distance calls & keep a records for such calls.
  • Any other add-hoc tasks as required by the plant operation.
  • Assist Senior HR Executive in monthly payroll administration.

Job Requirements :

  • Minimum SPM with relevant experience.
  • Computer literature, good communication skills and self-motivation.
  • Good organisation skills, with the ability to multitask.
