Responsibilities:

  1. Manage Directors' schedules, calendars and appointments.
  2. Prepare and compose correspondence, letters, and reports.
  3. Managing agendas for business trips and events.
  4. Maintaining and updating leave planĀ and calendar of events.
  5. Answering incoming telephone calls, forwarding them and taking messages.
  6. Participate actively in various projects and company events.
  7. Act as point person for office maintenance, mailing, supplies, equipment, verification of invoices and handle relevant payments.
  8. In the absence of the Director, distributing of incoming mails to the relevant manager in charge to deal with the case.
  9. Partner with Human Resource in handling human resource activities, including interview arrangement, onboarding of new employees, monitoring staff movements and any medical & AIA claims related.
  10. Develop and maintain a proper filing system and good record keeping.
  11. Make travel arrangements for employees, including hotel and flight bookings and visa application.
  12. Supervise and manage driver and tea lady.
  13. Ensure high level of integrity and confidentiality of data in performing day to day duties.
  14. Assisting for the correct completion of claims to Accounting & follow up of payment.
  15. Expense Claim Management for Directors' and Heads of the Department.
  16. Controlling department budgets.
  17. Any other ad-hoc tasks assigned by immediate supervisor.

Requirements:

  1. Candidate must possess at least Bachelor's Degree/Post Graduate Diploma/Professional Degree in business administration, business management or equivalent.
  2. At least 5 years of relevant working experience in Secretarial, Administration and Personal Assistant.
  3. Proficient in MS Office.
  4. Good interpersonal and communication skills.
  5. Possess self-confidence and be able to interact with all level of stakeholders.
  6. Strong organizational and planning skills.
  7. Excellent time management skills and ability to multi-task and prioritize work.
  8. Attention to detail and problem-solving skills.
