JOB PURPOSE
The incumbent is responsible for the general administration and resource coordination for the assigned work unit/s to enable the efficient utilization of people, process, data, documents, time and budget within the department
DUTIES AND RESPONSIBILITIES
1. Provide general administrative support and administer operational resources & budget for the work unit/s
- Record and track in and out documents to/from work unit/s
- Coordinate departmental meetings & activities, including periodic internal learning sessions
- Administer and monitor departmental resources requisition & procurement (including IT and office supplies) as well as operational budget keeping
- Maintain all division facilities in conformance with work environment standards
- Ensure the updating of the resources, documents, systems within the work unit/s as necessary
- Coordinate the submission of relevant documentation within set timeline/ deadline as per operational requirement (e.g. HCD, Finance, Operations, IT, Legal etc)
2. Provide support to the management and monitoring of projects/ committed work for the work unit/s
- Coordinate the resources for assigned projects/events
- Follow up and collate progress updates for committed projects/assignments on a periodic basis
3. Maintain the relevant processes, records and data of the work unit/s for reference and management reporting in a timely, accurate and efficient manner
- Maintain the inventory of processes applicable to the work unit/s
- Collate data for the data repository of the work units for management reporting and updates on a monthly basis
- Reference point for work unit/s’ files and records, policies and process information and established office procedures
4. Provide support to other team members in the work unit/s on a timely, accurate and efficient manner
- To be advised by the respective Head of Department/Division
QUALIFICATIONS
- Experience: Minimal Experience (2-5 Years)
- Min Qualification: Relevant tertiary education
