Sourcing Analyst

Role synopsis:

The Sourcing Analyst/Specialist supports various BP businesses with a range of sourcing activities. The ideal candidate has practical and application experience in sourcing of services and commodities, knowledge and understanding of contracts and legal terms, sourcing strategy preparation, coupled with a strong commercial orientation and communication skills.

Key accountabilities:

Based on internal task assignment the Sourcing Analyst/Specialist will support/manage end-to-end Sourcing projects as per business request, inclusive of the following activities:

  • Case Management
  • Sourcing Strategy
  • Supplier Prequalification
  • Event Management
  • Contracting
  • Contract Operationalization
  • Contract Administration
  • Reporting
Case Management

  • Receive, execute and continuously manage incoming Sourcing project requests via the Case Management tool
  • Validate requests, scopes of work and liaise with stakeholders to ensure all business requirements are considered/met
Sourcing Strategy

  • Gather and analyze market intelligence data on a regular basis relative to (CATEGORY and REGION NAME), in order to properly gauge and evaluate market and industry conditions utilized to determine the sourcing strategy decision
  • Develop Sourcing Strategy based on request, incumbents, market conditions, scopes of work, etc. and manage the approval process
  • Develop the ATM (approach to market) based on the approved Sourcing Strategy, and manage the approval process
Supplier Prequalification

  • Screen suppliers as per the related guidelines
  • Monitor/manage continuous supplier prequalification status, and action per the related guidelines
Event Management

  • Validate requests, scopes of work and liaise with stakeholders to ensure all business requirements are considered/met
  • Support/manage the supplier selection process
  • Build and manage sourcing projects & events (RFI/RFP) in the Ariba OneSource system
  • Manage the relevant supplier interactions and relationship throughout a sourcing project/task lifespan
  • Develop and obtain approvals for award recommendation documentation

  • Validate requests, scopes of work and liaise with all stakeholders to ensure all business requirements are considered/met
  • Evaluate proposals/outputs
  • Determine the appropriate contract template and develop the contract content based on the information contained in the Sourcing Strategy, sourcing event and/or detailed scope of work specifications
  • Negotiate relevant contract terms with suppliers, within the defined parameters of legal and category guidance
  • Escalate any contract term exceptions per the deviation process, and manage the approval process
  • Manage the contract execution/signature process per the applicable POA (power of attorney) requirements for each BP entity
Contract Operationalization

  • To Assess contract completeness and provide Assurance by timely uploading Contract Repository (Ariba) in accordance with the SOP
  • Facilitate Transactional Systems in accordance with the buying channel nominated
  • Publish Contract within appropriate systems
  • Ensure the appropriate changes /notices being affected are made within the appropriate systems
  • Ensure Completeness of P2P data before handing off to Purchasing operations
Contract Administration

  • Monitor, analyse and improve compliance to contracts
  • Perform price compliance audits
  • Manage amendments, change orders, variation orders and terminations in a timely manner
  • Contract Close Out and Exit
  • Archive documents to ensure legal compliance
  • Close transactional systems in accordance to contract requirements
Supplier Administration

  • Identify and resolve issues, claims and disputes
  • Facilitate supplier enablement process in accordance with the SOP
  • Support performance reviews in conjunction with the relevant procurement stakeholder and provide insights wherever required
  • Key liaison to manage local requirements, MOC and communications with suppliers
  • Analyse and share lessons learnt with Procurement and Business Stakeholders
  • Generate, analyse and publish reports and dashboards identified by Procurement and Business Stakeholders
  • Monitor and maintain sharepoint sites identified by Procurement and Business Stakeholders
Essential Education:

Bachelor Degree in any discipline or related field

Essential experience and job requirements:

  • Min. ((Level 5-6)) years of relevant sourcing experience
  • Practical knowledge and experience with contract terms and conditions
  • Experience with e-sourcing processes and tools (especially Ariba) is an advantage
  • Proven experience in dealing with external partners, suppliers or customers
  • Previous experience in a similar role dealing with competitive sourcing and third-party contracts is critical, including:
  • evaluating market conditions to determine sourcing strategies,
  • development and management of sourcing events (RFI, RFP, reverse auction, etc.),
  • contract drafting and negotiations,
  • proactive stakeholder management
  • Procurement experience across the source to contract process is an advantage
  • Experience in either a corporate environment or the oil and gas industry desired
