Job Description

  • Work with Facilities Manager in Project ownership of assigned projects - including, but not limited to: Office consolidation, development of scope, schedule, and budget process, contractor bid reviews, and contractor awards, tracking project progress actions and documentation.
  • Responds to vendor for project issues to ensure timely resolution, minimizing costs/impact to the project.
  • Monitor and synchronize office project communications, job completions and timelines to ensure high response level and minimized time loss on project challenges.
  • Create project documentation for contractor training, project implementation, and project closeout.
  • Establish reporting needs by project/program and create and distribute as required.
  • Manage the assignment and completion of projects, PO#s, and construction contracts for all new stores, relocations, expansions, and special projects and maintain key project information as required for each project.
  • Maintain, organize, and track on-going spend by project.
  • Coordinates facilities maintenance and repairs for Shell Business Operations KL Facilities. Schedules all work and provides follow through to ensure all work has been completed correctly and in a timely manner. This includes furniture, and office equipment as well as building equipment. Acts as the liaison with appointed FM contractors, cleaning and vendor deliveries.
  • Serves as primary contract and vendor liaison for all Facilities & Property Management related contractors. This includes review and approval of work performed, review and approval of bills (within approved budget) and evaluates Alternative vendors.
  • Maintains existing service contracts. Makes sure all contracts are up to date and helps to prepare RFPs when contracts are to be rebid.
  • Supervises office moves and relocations. This includes working with Business leaders/focal to insure all equipment is properly relocated. Supervises movers and furniture technicians.
  • Acts as contact point for building related issues with both tenants and landlords.
  • Work with FM in Fire & Electrical safety - Conduct Fire Safety activities such as Annual stress test, comprehensive quarterly and monthly fire alarm test.
  • Available 24/7 to assist with any Facility related emergencies. This may include coming to site to work with staff and vendors until problem is corrected.
  • Work collaboratively with all members of the Common Infrastructure Management (CIM) team, other members of the Operations division, and members of the MICA community
  • Additional duties as assigned

Requirements

  • Degree holder, preferably in Facilities Management/Mechanical/Electrical
  • Strong HSE Mindset
  • Minimum 5 years in Facilities Management & Hard Services Management or any relevant areas
  • Excellent communication skills
  • Experience in Project Management will be added advantage
  • Fast learner and result-oriented
