To support Management Level staff and perform a variety of tasks related to employee record keeping within the company. Candidate should be able to handle sensitive employee and company information, which requires a high level of professionalism and confidentiality.
Call for interview and arrange timing with hiring manager
Draft appointment letter
Conduct Orientation for Prod workers
Draft Acceptance of resignation
Draft confirmation letter
Liaise with Operations Manager on hiring and providing CV for any replacement of staff
Keying in attendance and generate attendance for Production to check and approve
Assisting in payroll preparation by providing relevant data to Asst Manager for payroll purpose.
On-going maintenance of payroll system and leave planning system (if applicable).
Updating and maintaining payroll records.
Staff listing and management on payroll related queries.
Maintaining leave, sick and overtime reports.
Print Payslip and distribute to staff.
Undertaking Statutory reporting both manual and online
Submit payment tax and social security fund including related documents.
Managing and updating employee personal profiles, staff movements such as new hire, transfer, resignation.
To update HR monthly report to GM.
Assisting in maintaining HR procedures and policies, rules and regulations in compliance with applicable laws and corporate policy.
Providing advice on staffs’ queries regarding to benefits and human resources matters after consulting with direct head.
Update insurance file monthly
Manage Foreign workers medical and permit expiry
Submit manual medical claims if applicable.
Performing other miscellaneous jobs as assigned
Handle pantry items – Westport
Parking access card and building access card – MK (Application and record movement – ad hoc)
Handle stationery orders – Westport
Arrange for flight tickets – for Directors
Arrange for Hotel bookings – as requested by any personnel from all countries.
Create Email for New Hires, reset password as and when required.
All other ad hoc duties assign by Directors/Managers
Specifically needed to be done in February and March 2019 :
Filing of PA forms – after the 2018 PA exercise
Draft Increment and Bonus letter
Print and check EA form for 2018 E Income tax filing
Distribute EA form to staff
Company Income Tax filing – To print the summary from Payroll system – check and make sure all details are correct.
Filling of all the Year End exercise documents – Increment, Bonus, EA form, Company E Filing,
Update Insurance on the new salary of all staff – to update coverage
