Job Responsibilities :
1. To handle full set of accounts.
2. Account Payable
- Ensure proper cost capture to correct general ledger distribution and cost centre.
- Ensure complete documentations for payable.
- Invoice data entries.
- Payment Vouchers data entries.
- Resolve dispute upon creditor’s discrepancies.
- Creditor’s reconciliation statement.
- Adjustment- debit note and credit note.
- Produce accurate creditors aging.
3. Accounts Receivable
- Ensure proper weekly sales capture and produce monthly sales,
- Register from exactly ERP-require inter-department communications.
- Update collection/receipts against sales.
- Adjustment-debit note and credit note.
- Produce accurate debtors aging.
4. General Ledger
- Ensure correct classification of the general ledger from accounts payable, accounts receivable, receipts, single payment vouchers, depreciation, prepayment, deposits, fixed assets, rental, advance, journal vouchers, bank books, and bank reconciliation.
5. Fixed Assets
- Fixed assets module maintenance.
- Proper calculation of depreciation.
6. Making Payments
- Advance Payment – Collect PO/ Any Documents approved by management.
- Regular Payment – Collect tax invoice attach with DO & PO.
- Print aging report for allocation of payment.
- Get a statement of Accounts from suppliers.
- Get approval from the Project Director before making payments.
- Check all calculations and prepare cheques.
- Get signatures from Directors.
- Update in Bank Manual Book.
- Update Bank Balance every day.
- Update Payment Entry in ERP.
- Collect receipt copies after payment and communicate with concern person.
7. Accounting Receipts
- Collect Payment Voucher / Advice from the Sales Department.
- Check with Sale Invoices and adjust against invoices.
- Generate aging report and cross verify with the Sales Department.
8. Reconciliations of Bank
- Collect Bank Statement from Bank after 31 st / 1 st of every month.
- Check with Bank Statement and print reconciliation statement.
- Attach Bank Statement, Bank Book Copy with Bank recon file.
- If unknown Debit or Credit found, check and get details from Bank/Management.
9. Reconciliations of Supplier Ledger
- Collect Statement of Accounts from Supplier.
- Print out ERP Report and cross verify.
- In case of any difference to clarify with the supplier.
- To file all the reconciliation reports with the supplier and correspondence.
10. Other Responsibilities
- Liaise with bankers, auditors, tax agents, customs department, company secretary & statutory bodies.
- Ensure proper utilization of weekly cash flows requirement.
- Annual account closing – yearend audit.
- Performs Ad-Hoc Task as given by the head of the department.
- Ensure timely and accurate financial, management and statutory reporting.
- Ensure all reporting deadlines are met for statutory and corporate requirements.
- Ensure financial records are maintained in compliance with accepted policies and procedures.
- To establish and monitor the implementation and maintenance of accounting control procedures, in accordance with the appropriate accounting and tax rules and regulations.
- To monitor and support taxation issues with regards to Corporate Tax, Income Tax, and Customs related taxes.
- To prepare financial audits and coordinate with the audit processes.
- To maintain all fixed assets records.
- To be responsible for a monthly full set of accounts closing and reconciliation.
- Reconciliation of Balance sheets items.
- Reconciliation of Intercompany.
Job Requirements :
- Degree or diploma in accountancy and finance with 3 – 5 years of experience in related field.
- Must be able to speak, read, write and understand Bahasa Malaysia and English Language.
