Job Summary:

To provide full range of confidential personal assistance and supports to Chief Executive Officer by undertaking a variety of tasks, inclusive administrative, clerical and managerial tasks.


Secretarial Duties

  • Checking, monitoring, filtering and responding to emails on behalf of CEO
  • Filtering, answering incoming calls and handling queries
  • Assist in drafting correspondence on the principal’s behalf
  • Sourcing and ordering stationary/equipment for the department
  • Organising and maintaining diaries and scheduling appointments 

Data Management

  • Preparing and maintaining office systems, including data management and record filing
  • Preparing reports and analysis on the company performance in terms of the admission, box office and concession sales, as well as the growth pattern of the company
  • Carrying out background research to obtain information and supporting facts / documents and presenting findings

 Meeting Arrangement

  • Organize Monthly EXCO Meeting in terms of preparation of the presentation, taking dictations of minutes of the meeting, follow up items as well as general assistance during the presentations
  • Compilation and follow up with Directors / HODS on the materials to be presented during EXCO meeting
  • Scheduling both external and internal meetings, appointments, notifying relevant parties on the venue details if required
  • Preparing presentations, papers and agenda prior the each meeting

 Event/Travel Arrangement

  • Arranging travel, visas and accommodation for the company Directors or as requested by the Management
  • Organize company events as and when required 

 Other Responsibilities

  • To work closely with the higher management in proposing and analysing staff promotions, benefits, salary increment and bonus allocation
  • Represent the Chief Executive Officer during his absence in the company, to attend to any urgent and  important matters assigned by Chief Executive Officer
  • To maintain strict confidentiality and interact in professional manner with different level of staff within the organization and external parties
