Job Description:

We are looking for a responsible and detail-oriented Admin Executive to support our daily admin operations, SQL system records, invoicing process, and operation coordination.

This role is responsible for ensuring all order, delivery, invoice, payment, and receipt records are entered accurately and supported by proper documents.

The candidate must be able to follow company procedures carefully and work with the admin, sales, warehouse, and delivery teams. This is an execution and support role.

Key Responsibilities:

• Enter and update customer, order, delivery, invoice, payment, and receipt records in SQL system.
• Prepare and check invoice information based on valid supporting documents.
• Ensure invoice details such as customer name, item, quantity, price, document reference, and payment terms are accurate.
• Support daily admin operation, including document preparation, filing, and record updates.
• Assist with DO / RO / invoice document checking and follow-up.
• Coordinate with internal teams on order status, delivery records, POD, and stock movement documents.
• Follow up on missing or incomplete documents with the relevant person.
• Maintain proper filing of quotation, DO, RO, invoice, delivery, payment, and receipt documents.
• Report any missing, incorrect, or mismatched information to the reporting manager.
• Prepare simple daily or weekly admin summaries when required.
• Follow company document flow and avoid unauthorised manual changes.

Key Requirements:

● Minimum 1–2 years of experience in admin, invoicing, sales support, operations support, or related role.

● Experience using SQL system, accounting software, ERP system, inventory system, or similar business system.

● Able to handle invoices, delivery orders, customer orders, and related sales documents.

● Good attention to detail, especially numbers, item codes, quantities, pricing, and document references.

● Basic understanding of sales document flow such as quotation, DO, invoice, delivery, payment, and receipt.

● Basic Microsoft Excel / Google Sheets skills.

● Able to communicate clearly with admin, sales, warehouse, and delivery teams.

● Responsible, organised, and able to follow fixed procedures.

1. Billing

• Prepare and issue transport invoices accurately and on a timely basis

As a Trade Support Analyst for the Cotton Platform, you will be a part of the Global SBS Commercial Service Line Team. Reporting to SBS Commodity Management Operation Manager, this rôle is responsible for providing operational support for the Domestic & International Supply Chain in various scopes including contract management, master data management, commercial invoicing, cash management, stock data reconciliation & declaration, and client service management. This rôle needs to provide support to the Cotton Platform for various markets, mainly Australia, and other important markets (China, etc).  

Main Responsibilities: 

Contract Management: 

• Perform daily trade capture and system entry  

• Perform daily trade confirmation, monitoring, and reconciliation (completeness/coherence check) 

• Perform daily contract document reception/issuing, monitoring, and signature 

• Issue contracts after trades are validated and verify accuracy between contracts issued/received in database; recognize discrepancies and communicate with the trading desk  

• Perform daily price fixation and input in the Front Office System 

• Perform daily price fixation note management 

• Conduct regular contract updates in the Front Office System 

Invoicing and Cash Management: 

• Handle the daily goods’ invoices issuance  

• Handle the daily booking for the secondary costs’ invoices  

• Handle the daily payment request issuance 

• Handle the daily cash collection monitoring by ensuring timely payment of the goods, based on the customers’ orders and forecast, safety stock levels (per customer and/or product) 

• Monitor the daily cash collection monitoring, including checking the invoices (matched or not), reporting cash (received or not) 

• Update the data in the Front Office System 

Stock Data Management: 

• Handle the stock insurance declaration 

• Upload the daily/weekly warehouse report in the Front Office System 

• Perform stock reconciliation against warehouse receipts 

• Maintain/Match cotton batch attributes in Cotton Receiving System (CRS) 

• Maintain and update the specific data delivery in the system, ensuring accuracy of delivery details and preferences 

• Manage individual requirements and order history records 

Client Service Management: 

• Act as the key point of contact on any of the Client’s orders, ensuring proactive and professional communication 

• Manage administrative counterparty requests such as payment status, contracts & invoices documents, account statements reconciliation, etc  

• Address clients’ inquiries and provide order status updates, shipping details, and documentation support 

• Record clients’ claims/complaints and provide feedback after identifying resolution 

• Build and maintain strong relationships with customers, ensuring high standards and satisfaction levels 

Export documents Management  

• Export documents preparation and issuance  

• Export documents checking and validation 

• Export documents Dispatch, status update and filling  

Experiences: 

• At least 3-5 years of relevant working experiences in customer service, order management, supply chain or logistics in a B2B working environment  

• Highly proficient with Microsoft Excel 

• Experience in systems (SAP, trading systems, payment system, etc) is a plus 

• Ability to work in a fast-paced environment and handle a huge volume of requests
