We are seeking a high-performance Executive Assistant who is also an operational integrator—someone who is systems-driven, fast, resourceful, and thrives in a dynamic environment.
This is NOT a classic admin role.
This is for someone who loves being the glue between executives, clients, and internal teams to ensure flawless execution and operational excellence.
🎯 MISSION OF THE ROLE
Free up the co-founders’ time by absorbing and filtering all inbound communication, ensuring client deadlines are met without escalation, and designing operational workflows that reduce interruptions, eliminate inefficiencies, and enable the business to scale without requiring the founders’ day-to-day involvement.
You will oversee communication, calendars, deliverables, workflow optimization, and cross-team coordination. You will also step in to support client delivery when needed to prevent bottlenecks.

🚀 What You’ll Own
1. Executive Support & Communication
- Fully manage executive inboxes daily
- Draft, refine, and send professional emails
- Serve as a liaison between executives, team members, and clients
- Shield executives from unnecessary communication and interruptions
- Keep executives operating at peak efficiency with clear priorities and context
2. Calendar, Scheduling & Priority Management
- Manage executive and team calendars
- Anticipate conflicts, holidays, high-volume seasons, and adjust schedules proactively
- Ensure meetings are properly prepared with agendas, notes, and materials
- Maintain up-to-date priority lists and ensure deadlines are clear and visible
3. Client Deadline & Delivery Oversight
- Track all client deliverables and ensure deadlines are consistently met
- Follow up with internal teams proactively before tasks fall behind
- Step in to support client delivery when team bandwidth is tight
- Draft and send client updates, summaries, or deliverables when needed
- Maintain world-class communication, tone, and professionalism with clients
4. Operational Workflow & Systems Optimization
- Identify inefficiencies across operations and propose solutions
- Design workflows, SOPs, and templates to improve team output
- Prioritize workflow builds with the tech/automation team
- Test, refine, and document new processes
- Ensure all workflows are adopted and consistently implemented
5. Social Media & Brand Ops Support
- Manage posting schedule and content publishing
- Coordinate content requests, captions, approvals, and posting
- Support online community engagement and moderation
6. Team Coordination & Internal Operations
- Route client questions to the appropriate team members
- Ensure the right tasks get to the right people at the right time
- Maintain alignment and communication across the team
- Assist with workshops, events, and internal planning

🎓 Experience
- 2–3+ years as an EA or Operations Assistant, ideally supporting executives remotely
- Proven experience managing complex calendars and communications
- Demonstrated ability to maintain deadlines across multiple moving parts
- Experience in coaching, real estate, or marketing environments (preferred)
💻 Role Requirements
- Full-time availability

- Comfortable working autonomously in a remote environment
- Comfortable completing a paid trial period
💰 Compensation
USD $1800–$2200/month, depending on experience
Independent contractor role, paid bi-weekly via invoice
