To oversee daily facility operations, ensure reliability of building systems, and manage the performance of the Integrated Facilities Management (IFM) service provider to meet safety, quality, cost, and compliance objectives.
Key Responsibilities
1. Daily Operations & Maintenance
- Oversee day-to-day maintenance of building systems (HVAC, electrical, plumbing, fire protection, utilities, etc.)
- Ensure all critical systems operate efficiently with minimal downtime
- Review and approve preventive and corrective maintenance plans
- Monitor work orders, service requests, and completion timelines
- Ensure asset reliability and lifecycle management
2. IFM Supplier Management
- Act as the main point of contact for the IFM provider
- Manage IFM contract scope, deliverables, and KPIs/SLAs
- Conduct regular performance reviews and audits of IFM services
- Validate manpower deployment, competency, and service quality
- Drive continuous improvement and cost optimization initiatives
- Ensure compliance with contract terms and escalation management
3. Safety, Health & Environment (EHS)
- Ensure compliance with all safety regulations and company EHS policies
- Lead incident investigations and corrective/preventive actions
- Conduct regular safety inspections and audits with IFM
- Promote a strong safety culture across operations
4. Compliance & Regulatory
- Ensure facility complies with local authority requirements (e.g., fire safety, environmental, building regulations)
- Manage audits, inspections, and certifications
- Maintain proper documentation and records for compliance
5. Budget & Cost Control
- Develop and manage OPEX and maintenance budgets
- Track IFM contract costs and ensure value for money
- Review quotations, approve expenditures, and control cost leakage
- Identify cost-saving opportunities without compromising service levels
6. Project & Improvement Management
- Lead minor projects, upgrades, and retrofit works
- Coordinate with engineering and project teams for expansions or modifications
- Drive reliability improvement and energy efficiency initiatives
7. Stakeholder Management
- Work closely with internal stakeholders (operations, engineering, EHS, finance)
- Communicate service performance and issues effectively
- Handle escalations and ensure timely resolution
8. Reporting & Performance Monitoring
- Track and report KPIs such as:
- Equipment uptime
- Response and resolution time
- Preventive maintenance compliance
- Safety performance
- Cost
- Prepare monthly/quarterly reports for management review
