Responsibilities
- Receives visitors to the office and advises relevant internal party of their arrival.
- Ensures refreshments are provided to visitors and internal meeting coordinators
- Manages meeting rooms bookings and ensures meeting rooms are clean and prepared as appropriate in advance of meetings
- Assist with setting up video conference equipment when IT staff are unavailable
- Operates telephone switchboard, ensuring incoming calls are answered promptly
- Receives incoming mail from postal service and courier companies
- Arranges for relief cover at lunchtimes, during annual and other leave and other times as necessary
- Assist visiting staff with arranging local travel as required
- Assist vendors with carrying out routine office equipment readings, minor repairs such as light bulb replacement
- Provide support cover for Investment Banking secretaries during their absences
- Attending to email and telephone requests, arranging meetings or conference calls and arranging in-house lunches.
- Booking or making changes to travel arrangements
- Assist with ad-hoc duties as assigned
Requirements
- Minimum 2 years of experience in Secretarial and Receptionist duties
- Proficient in MS Office
- Able to handle fast-paced environment
