Main Responsibilities

Primarily supporting the Maritime, Trade and Offshore (MTO) team, this role involves providing high-quality document and transactional support within a fast-paced legal environment. The successful candidate will be expected to maintain excellent accuracy and attention to detail across a range of tasks, including:

  • Preparing and managing transaction bibles (both original and electronic), including indexing, collating, and monitoring receipt of documents
  • Assisting with closing processes, including collating and dating executed documents and handling signature pages (PDF and originals)
  • Supporting the preparation and drafting of basic legal documentation, including corporate authorities, conditions precedent documentation, and simple loan/security documents for standardised transactions
  • Assisting with company searches, vessel searches (including transcripts from the HK Shipping Registry), and general due diligence tasks
  • Undertaking filing and registration of security interests at the Hong Kong Companies Registry, including completion of forms and filing procedures
  • Assisting with document filings at the Hong Kong Companies Registry for SH offices
  • Managing distribution of original documents, including arranging local and international couriers
  • Preparing reports and basic notes (e.g. company search reports)
  • Supporting transaction management by liaising with internal teams, clients, counterparties, and external parties
  • Performing legal and factual research as required
  • Providing general administrative and secretarial support, including preparing payment requests related to filings

  • Well-organised, with the ability to manage multiple tasks and meet strict deadlines in a fast-paced environment
  • Good communication and interpersonal skills, with the ability to build effective working relationships across all levels
  • Proactive, professional, and collaborative approach to work
  • Strong file management and organisational skills
  • Ability to prioritise effectively and work independently when required
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • Fluency in English and Putonghua (spoken and written)
