Are you energized by the pace of a growing start-up? Do you find satisfaction in keeping complex operations organized and running smoothly? We’re looking for an Operations & Admin Coordinator who thrives in variety - someone equally comfortable tracking a shipment, reconciling an expense report, and tightening up a board template before the end of day.
In this role, you’ll work across logistics, accounting support, and administration - serving as a critical operational backbone for the team. You’ll build systems, maintain records, support financial workflows, and help the business stay organized as it scales. This position reports directly to the Operations Team.
Your Day to Day:
Logistics & Operations Support
- Coordinate inbound and outbound shipments including shipping documentation and customs paperwork where applicable
- Maintain and assist with inventory records; track production and purchase orders and flag delays proactively
- Support order fulfillment coordination and manage returns and insurable claims with the warehouse
- Coordinate vendor or customer communications and maintain accurate records of all interactions
Accounting Support
- Process accounts payable - invoice review, coding, entry into accounting system (Xero)
- Assist with accounts receivable tracking and follow-ups
- Reconcile expense reports and support monthly closing tasks (data entry, documentation gathering)
- Maintain organized financial documentation for audit readiness at all times
Note: This role supports the bookkeeper and accountant operationally and is not intended to replace either function.
Administrative Support
- Handle sales invoice processing and prepare basic reports and summaries (inventory, expenses, sales tracking)
- Assist with internal process documentation updates and board meeting preparation
- Maintain organized digital filing systems and internal documentation
- Coordinate projects with business units and act as the go-to resource for internal administrative needs, including direct project support to the CEO & COO
What you bring:
- 2-4 years of experience in operations, logistics, or administrative coordination
- Excellent written and verbal communication skills, plus active listening skills
- Detail-oriented with strong organizational skills
- Strong problem solving and decision making skills
- Strong spreadsheet skills - you enjoy building and working in Excel or Google Sheets
- Ability to multitask and prioritize tasks effectively in a fast-paced environment
- Experience with accounting software (Xero, or similar)
- Quick to adopt and leverage new tools and platforms
- Comfortable working with data and analytics to measure success and inform decisions
- High ownership mindset with the ability to work independently and drive initiatives forward
Bonus Points If:
- Interest in health, wellness, and building mission-driven brands
- Experience with project management tools (Trello, Monday.com, Slack)
- Experience with one or more of the following platforms is considered a strong asset: Dext, Plooto, Cin7, Shopify, and/or Amazon Seller Central
- Creative thinking and a sense of humour
What We Offer:
- Salary: $58,000 - $68,000 based on experience
- Comprehensive group benefits including health and dental coverage
- Flexible Working Hours: Our hours of operation are Monday to Friday from 9am to 5pm EST. However, we offer flexible working hours to help employees maintain a healthy work-life balance.
