To handle purchasing and play a pivotal role in securing high-quality and cost-efficient supplies for our business. Have to follow procurement procedures, maintain an updated list of current and incoming stock, and be responsible for approving purchases.

Job Responsibilities:

1. Perform Purchasing Transactions

Create and maintain relationships with venders/suppliers.
Estimate and establish budgets for purchases.
Make professional decisions in a fast-paced environment.
Review all venders and suppliers.
Negotiate the best deal for pricing and supply contracts.
Develop plans for purchasing services, and supplies.
Ensure that the products and supplies meet quality standards.
Work with team members to complete duties as needed.
Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development.

2. Day-To-Day Duties

Purchase supply of products/materials
Determine the lowest cost for products/materials
Track and record orders to ensure all order been received on time
Receive orders and document arrivals and then convert PO to Purchase Invoice in AutoCount.
Check and review the Prepare requisitions and purchase orders.
Monitor order expenses.
Communicate performances and costs to management.
Organize and schedule procurements in a timely manner.
Work with team members and Finance manager to complete duties as needed.
Reconcile the SOA of Creditor Balance against Outstanding in Autocount.
Keep accurate and up-to-date records of all purchases, including prices, quantities, and delivery dates. Ensure that all information is documented and easily accessible for reference and reporting purposes.
Collaborate with various departments to determine their procurement needs.
Prepare purchase orders, ensuring accuracy and compliance with company policies and procedures. Send purchase orders to suppliers and monitor their fulfillment.
Establish and maintain good relationships with suppliers and vendors. Conduct regular supplier evaluations to ensure quality, on-time delivery, and competitive pricing. Negotiate favorable terms, conditions, and discounts with suppliers to optimize cost savings for the company.
Monitor stock levels and anticipate future needs. Coordinate with the warehouse or inventory team to ensure optimal inventory levels are maintained. Recognize potential stock shortages or excesses and take appropriate action to address them.
Conduct market research to identify new suppliers, products, and technologies.
Stay updated on market trends, price fluctuations, and industry regulations to make informed purchasing decisions. Compare prices, quality, and delivery terms to select the best suppliers for the organization.
Address any discrepancies or issues related to purchases, such as incorrect shipments, damaged goods, or delays. Collaborate with suppliers and internal stakeholders to resolve problems promptly and effectively.
Assist in developing and monitoring departmental budgets. Ensure that purchasing activities align with approved budgets and financial guidelines. Identify cost-saving opportunities and propose strategies to optimize procurement processes.
Prepare regular reports on purchasing activities, including expenditures, savings, and supplier performance. Generate reports for management review to provide insights and support decision-making processes.

ACCOUNTABILITY
SALES

Supervising and guiding team towards maximum performance.
Preparing and controlling the outlet’s budget aiming for minimum expenditure and efficiency.
To ensure smooth running of operations to maximize sales and minimize costs.
The goal is to manage outlet in ways that boost revenues and develop the business.
Monitor stock levels and ensure stay within budget.
Deal with complaints from customers to maintain the outlet’s reputation.
Inspect the areas in the outlet and resolve any issues that might arise.
Plan and oversee outlet promotional events or display.
Keep abreast of market trends to determine the need for improvements in the outlet.
Analyze sales and revenue reports and make forecasts.

CASHIER
Oversees the cashier team and overall functions of a retail branch.
Addressing employee and customer complaints or requests, ensuring all registers have the correct amount of cash at all times, resolving price checks for customers and ensuring compliance as per quota per customer.
Involve interacting with customers, providing a positive experience and ensuring that the other cashiers are prepared to do the same.
Create and maintain a positive work environment for all cashiers
Serve as the primary point of contact for customer service associates
Operate registers and perform general checkout functions
Generate reliable and accurate till reports from every register
Resolve cash tills when closing, ensuring the money matches the report and is stored safely
Assist cashiers with requests such as price checks

EXPERIENCE & QUALIFICATION
Diploma in Business/Marketing or equivalent
Possess at least 2 years’ experience in retail management. Those with retail sales experience in the Duty-Free industry are much preferred
Strong sales ability, business acumen, and commercial awareness.
Excellent communication, interpersonal and customer service skills.
Strong leadership abilities.
Ability to stay calm and on-task in high-stress situations
Current in today's office technology, and computer software including MS Office.
Ability to multitask and prioritize daily workload.
Discretion of personal and confidential information.
