Summary of the position

We are seeking a candidate who can work under pressure and independently with minimal oversight. The ideal candidate must have a mindset that is ready to problem solve and overcome challenges, to improve existing processes at our offices. The candidate will be exposed to regulatory Compliance and Finance, on top of the Office Management and administrative duties.

Responsibilities

Office Management and Administrative Support

· Create, maintain, operate, and improve a range of office processes, tasks and systems.

· Coordinates with external service providers.

· Create and maintain effective tracking of documents and filing systems.

· Drafting and maintaining board resolutions, management meeting agendas and minutes.

· Work collaboratively with other departments across the firm to coordinate and support.

· Tracking of employee records, leave applications, and expenses.

· Handling work pass application, renewal, and termination.

· Other ad-hoc duties as they arise.

Finance

· Perform basic accounting, bookkeeping, and financial tasks.

· Undertakes payment duties including the collation of invoices and processing expenses.

· Liaise with external agents, auditors, and accountants

· Assist the Finance Manager in monthly accounts and annual audits.

Compliance (preferred, prior experience not required)

· Provide administrative and operational assistance with various regulatory compliance matters.

· Work closely with the compliance team to ensure that work and submissions are done in a timely manner.

· Keeps track of regulatory deadlines and company filing requirements.

Skills and experience required

· Minimum 3 years of working experience. Preferably in office management and accounting.

· Positive and confident attitude, willing to learn and can-do mindset.

· Excellent organisational and prioritisation abilities. Ability to work under deadlines and to accommodate last-minute changes.

· Excellent interpersonal skills with the ability to effectively interface with management and internally across cross-functional teams.

· High degree of proficiency in Microsoft Office.

· Team player who can work independently with minimal supervision.

· Strong communication skills (written & verbal).

· Experience working in Buyside investment firm is an advantage.

Reporting structure

The Finance and Administrative Executive will report to the COO Office.

Remuneration level

Remuneration will be market related. In addition, the successful candidate will receive a competitive benefits package and be eligible to participate in the firm-wide discretionary bonus scheme.

Job Summary:

The Manager, PICA Claims Operations and Administrative reports to the Vice President of PICA Claims and is responsible for overseeing support for all PICA Claims functions, ensuring claim workflows are in compliance with Company policy and procedure, and is the technical liaison and subject matter expert on all claims systems and workflows. 

Essential Duties and Responsibilities:

65% - Workflow and Quality Management:

• Lead claims projects determined to be critical to the success of the organization and reduce potential enterprise risk exposure to the organization.
• Collaborate with other team members in PICA Claims Management, IT, Data & Product Management, and BOLT to implement process and system changes.
• Construct operational and trend reports, presentations, and memos as directed to include narratives, illustrations, and metric analysis.
• Develop and monitor workflows, processes and guidelines and actively manage and communicate the technical requirements and procedures for the PICA Claims Department.
• Organizes cross-functional teams to discuss workflow, process, and systems improvements.
• Collaborate with other team members in PICA Claims Management, Data & Product Management and/or BOLT on the development and implementation of training strategies for the PICA Claims Department system usage and processes that empower all team members to understand and fulfill their roles in achieving department standards.
• Assist in the communication and distribution of best practice results through written reports, PowerPoint presentations, oral presentations and coaching to both individuals and groups. Works collaboratively with business partners, including claims management, to ensure compliance with guidelines and claim handling practices and develops action plans regarding tasks, resources, and timeframes necessary for improvements.  

30% - Team Management, Leadership, and Development:

• Recruits, selects, and develops Claims Administrative Team. Provides guidance, support, and growth opportunities to team. Ensures that each team member has a meaningful professional development plan that supports the team member’s career goals.
• Manages the achievement of performance objectives for the team; provides frequent feedback and meets with direct reports on a regular basis for meaningful coaching discussions on all aspects of the team member’s performance and development.
• Conducts meaningful annual performance reviews on a timely basis and establishes SMART goals for team members.
• Ensures the delivery of regular, quality training programs to enhance technical, business, supervisory and interpersonal skills of employees; collaborates with other departments on training and development opportunities. 5% - Secondary Duties:

• Conduct quarterly claims technical quality reviews and provide recommendations for key opportunity areas.  Measures compliance through the completion of quality reviews and ensure SOX compliance.

Qualifications:

• Bachelor’s Degree required.   
• Seven years’ experience in an insurance claim environment and three years administrative supervisory experience.

The role will work on a variety of legal and compliance matters involving the investment businesses described above. Primary job responsibilities include:

  

• Manage confidential information within the Blackstone Credit & Insurance business, across Blackstone business units and externally, including information which potentially constitutes material non-public information (“MNPI”) or deemed subject to the EU Market Abuse Regulation.

• Primary coverage for the BXCI credit trading desk. Will sit on credit trading desk and provide advice to traders and business management as well as Legal & Compliance, IT, and Operations.

• Manage all aspects of trade restrictions including analyzing potential MNPI, clearing trades, and maintaining the restricted list on an ongoing basis.

• Facilitate internal wall crosses among Blackstone’s business units. Work with Legal & Compliance colleagues across other Blackstone business units to promote consistency.

• Devise, initiate, maintain, and revise compliance and regulatory policies, procedures, controls, and training based on the specific needs of the business and current regulatory requirements particularly ones related to confidential and MNPI.

• Manage Expert Network policies and procedures; provide oversight of calls.

• Review allocations of investments.

• Coordinate with other Compliance team members on compliance and regulatory matters: SEC and CFTC registrations, ERISA, and federal, state and international securities laws (including the Investment Advisers Act of 1940, the Securities Act of 1933 and the Exchange Act of 1934)

• Work with team in responding to requests from regulators, preparing for regulatory examinations, and conducting mock examinations in conjunction with external consultants and counsel.

         

Qualifications:

• An attorney with 4+ years of experience in a law firm, regulator, and/or as a compliance professional (preferably at an asset manager). Experience in a control room or sitting on a trading desk is strongly preferred.

• Must evidence a solid understanding of insider trading law, possess ability to independently perform analysis of information to determine whether it potentially constitutes MNPI, and document analysis in a clear and organized manner.

• Ability to be proactive in novel situations and to independently manage projects to conclusion. 

• Must be a strong and independent thinker with excellent interpersonal and communication skills.

• Demonstrated experience liaising between business team members and legal and compliance colleagues.

• Must have a tolerance for ambiguity, confidence and a pragmatic, conscientious work ethic.

• Knowledge of and ability to communicate risks, best practices and regulatory requirements (U.S. and international).

Responsibilities:

• Overseeing monthly / daily NAV and portfolio reconciliation process; investigating and resolving discrepancies with administrators and internal operations teams
• Preparing and reviewing capital calls and distributions allocations
• Calculating management fee, distributions, waterfall allocations, and IRR
• Preparing and reviewing expense allocations and payments
• Monitoring expenses and preparing budgets
• Reviewing financial statements and regulatory reporting
• Maintaining information and reconciling loan investments and debt financings in Investran to loan tracking models
• Preparing and reviewing fund forecasts, performance estimates, attributions, and other ad-hoc projects
• Overseeing the calculations and managing wire payments for various firm revenues, including management fees and incentive fees
• Reviewing fund legal documents and assisting in building processes and templates for new fund launches
• Liaising with the Investment and Operation teams to review and enhance internal and investor reporting
• Assisting in review of investor statements, quarterly investment letters, and internal reporting
• Maintaining accounting related data (capital, expenses, P&L) in internal systems
• Coordinating with external auditors for the year-end audit process
• Overseeing and reviewing the work of the offshore team and various administrators

 

Qualifications:

• Advanced Excel skills required
• 3+ years of public accounting / private equity experience, preferably public accounting and asset management
• CPA preferred
• Commitment to excellence in work product
• Strong time management skills
• Independent worker/ self-starter
• Strong desire to learn

Expected annual base salary range:

$100,000 - $140,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.

Job Description:                                                   

• Calculating performance returns and benchmarks for BXC Private and Liquid Credit mandates.
• Reconciliation of return data to external administrator and dissemination to senior Blackstone executives.
• Assisting marketing in aggregating data for due diligence questionnaires (“DDQ”) or request for proposals (“RFP”) to assist in fundraising for new products.
• Assisting with ad hoc projects and system implementation, as necessary
• Compilation and review of content and timely completion of quarterly/monthly client and external marketing: Flash reports; Portfolio Quarterly reports, investor letter and any follow-up correspondence and associated requests
• Calculating customized benchmark returns across fund segments to compare BXC return metrics to comparable indexes
• Coordinating Regulatory Reporting with the BXC Finance, Marketing and Legal teams
• Leading the implementation of proprietary software used to generate fund summary of performance metrics across BXC/BIS Alternatives platform which will provide real time performance metrics to senior level executives

Qualifications:                  

• 3+ years’ experience in Operations, Accounting, or Finance group
• Strong Excel skills preferred
• Performance reporting experience preferred (e.g. IRR, MOIC, etc.)
• Experience in the financial services and/or insurance industries preferred
• Strong attention to detail and highly organized
• A strong work ethic and a positive attitude
• Results oriented, deadline driven resource person who thrives in a dynamic environment
• Independent worker / self-starter
