Position Purpose 

The Senior Business Support Executive plays a pivotal role in strengthening our support functions to better assist our Sales, Client Management, and Marketing teams. This position is responsible for providing strategic support, managing administrative tasks, and optimizing processes to enhance overall efficiency and effectiveness. By ensuring seamless coordination and communication, the Senior Business Support Executive enables our teams to focus on driving business growth and delivering exceptional service to our clients.

Major Tasks & Responsibilities : 

• Provide comprehensive administrative support to the Sales, Client Management, and Marketing teams, including A&P claims management, A&P recovery arrangements, and correspondence.
• Monitor accounts receivable (AR) collections and follow up with clients to ensure
  timely payment.
• Resolve customer payment issues and discrepancies in a prompt and professional manner.
• Coordinate and facilitate communication between internal departments and external stakeholders.
• Manage documentation, files, and records to ensure accessibility and organization.
• Support the development and implementation of strategic initiatives to improve
  business support processes.
• Assist in project management activities, including tracking progress, monitoring
  deadlines, and reporting.
• Collaborate with cross-functional teams to address support needs and optimize
  workflows.
• Stay updated on industry trends and best practices to continuously improve support services.
• Mentor and guide junior support staff to ensure a high level of performance and
  productivity.

Work Relations 

The Senior Business Support Executive will work closely with the following teams and individuals :

• Sales, Client Management, and Marketing teams to understand support needs and provide assistance.
• The Management to align support initiatives with overall organizational goals.
• Cross-functional teams to collaborate on projects and initiatives.
• External stakeholders, including clients, vendors, and partners, to facilitate
  communication and coordination.

Qualifications : 

• Bachelor & degree in Business Administration, Management, or related field, or
  equivalent work experience.
• Proven experience in a similar role, preferably in the FMCG industry.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent communication and interpersonal abilities, with the capacity to build
  relationships at all levels.
• Proficiency in Microsoft Office Suite and other relevant software applications.

• Identify customer needs and key drivers to reach customer satisfaction goals with financial benefit.
• Perform business process mapping & analysis
• Serve as a the principal adviser for Grab for all departments within this growing organization.
• Partner with the leadership team to select improvement areas and build a robust improvement strategy, integrate recommendations with other programs and initiatives.

The Day-to-Day Activities:

• Conducting lean action workout sessions with process stakeholders, facilitate brainstorming sessions to identify gaps and chart out improvement action plan.
• Conduct process bench-marking exercise
• Collect data on various metrics to create performance baselines and implement it across organization, monitor the usage of performance baselines and identify action plans to improve baselines.
• Mapping functional solution to technical solution
• Create to-be process maps and functional design.
• Identify the best process to be mapped with the system to improve productivity of the team.
• Process data analysis using six sigma methodologies
• Execute large scale projects to improve project delivery throughput by improving process capability and reducing cycle time.
• Work directly with internal process owners and Team Leads and project teams to drive process improvement projects within their areas of responsibilities.
• Develop guidelines for process improvement initiatives
• Identify the parameters to track process improvements and create monitoring criteria. The parameters can include input and output criteria, training, testing, methodologies, reviews, etc.

The Job:

Job Description

Overall

• Serves as a source for other departments within the organization for capacity planning matters.

• Participates in projects that influence the direction of capacity planning that impacts customer satisfaction.

• Execute non-routine tasks designated by your supervisor to meet business needs.

• Develop relevant and impactful key performance indicators such as Forecast Accuracy, Offloads, Surplus to monitor and control demand forecast.

• Formally establish individual goals to direct staff, review performance and achievements , following the "SMART" guideline.

• Track and report key measurables, initiate actions, share information and updates, develop and maintain performance matrix and baselines.

• Conduct review of planning related performances and continuously work on improving the planning model.

• Independently analyzes data and determines the course of action required to achieve stated goals and objectives, determine root cause of issues, proposing and overseeing implementation of corrective action. 

• Champion risks assessments and mitigation strategies on capacity planning.

Planning

• Works closely with commercial and delivery teams to determine daily/weekly/monthly volume forecasts, developing an effective forecasting model based on industry trends and demand patterns.

• Perform demand variation analysis using historical / statistical baselines to produce a Rough Cut Capacity Plan, within varied time frames, 

• Maintains accuracy and consistency of the current volume and re-planning strategies being time or cost sensitive.

• Works with the Launch team for new product / program launch, formalizing Commercial and Operations planning data.

• Verify demand variation that is not justified and contact commercials to resolve discrepancy. Notable discrepancies e.g. lead time breach, capacity constraints, or other issues that may jeopardize delivery to be reported after identifying the issue including demand that is greater or below customer forecast.

• Conduct review with commercial and operations on demand horizon and forecast plan, assessing capability, including belly space capacity, facility processing capabilities, equipment, manpower and operating hours. 

• Areas of concern to be highlighted at the presentation, seeking for action plans from all functional/support  teams.

• Record the result of the review and action plans, file pertinent documentation i.e. Rough cut capacity plan, minutes of meetings, attendance, support documentation, etc.

• Anticipate and communicate on Capacity and Capability to achieve the lead time and cost effectiveness

Scheduling

• Develop schedules for First Mile and Last Mile for Delivery operations

• Leads improvement and cost reduction initiatives, providing value added ideas & insights to complete tasks more efficiently, influencing operational processes.

• Ensure the scheduling communication is sent timely to operations and commercial teams.

Skills

• Broad based supply chain management and process development knowledge.

• Strong interpersonal / leadership / planning / negotiation / problem solving / delegation skills, with ability to motivate and drive outcomes

Qualifications and Experience

• Bachelor’s Degree in any Engineering discipline

• At least 10 years work experience, predominantly in operational excellence roles with strategic leadership

• Experience in leading global/regional projects with highly complex stakeholder management

• Strong spreadsheet, analytical and reporting skills

• Self starter and able to work independently

• Thought process and the ability to breakdown complex issues and solutionize

• Experience working in logistics services or e-Commerce is an advantage

• Fluency in English, both written and spoke
