Responsibilities

Oversee the Customer Relations Centre for few developments
Planning and organizing tasks prior to vacant possession
Prepare necessary drawings and plans to be included in vacant possession pack
Liaise with HQ & Vendor in setting up defect management system
Liaise with state and local regulatory agencies when required
Provide guidance to the team on handling customers
Ensure high level of engagement with the customers by seeking solutions
To attend and monitor all enquiries and complaints via phone calls, email, walk in and accordingly and solved within stipulated time.
To resolve product or service problem by clarifying the customer’s complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem, expediting correction or adjustment, following up to ensure resolution.
To prepare, compile and provide update report
To keep records of customer interaction, recording details of inquiries, complaints & comments as well as actions taken.
To contact customers via email or phone calls in order to respond to complaints or to notify them of investigation results.
Liaise with project team and contractors on rectification works
Attend meetings pertaining to issues on defects
Prepare reply letter to relevant parties when needed
Maintain good relationship between sales person, customers and internal support team.
Filing and keep track of documents.
Ad-Hoc task assigned by superior.

Requirements

At least 5 year(s) of working experience in customer service/property related industry
Independent, pro-active, result-driven, customer oriented with good communication skills.
Knowledge of Housing Development Act (HDA), Strata Title Act and Building & Common Property Act will be an added advantage.
Strong communication skills in English and Bahasa Malaysia
Possess leadership qualities and able to work as a team
Possess a positive attitude, ability to organize, plan, meet deadlines and work well under pressure
Extensive experience in managing strata landed, strata high-rise, mixed development, and non-strata development.
Familiar with work scheduling / planning and good in report and letter writing

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

What you will be doing

Monitor Operational Workflow to Ensure a Full Supply Chain Visibility to the Customer

Receive and control customer bookings according to the processes in place
Check optimizations from Optimizer if applicable and propose consolidation options
Assign customer booking to a selection of freight forwarding agents (3PL)
Monitor shipments on regular basis (3PL shipment confirmation, milestones completion etc.)
Drive corrective actions when required (missing event etc.)
Monitor delays and deliveries events using the dedicated IT solutions (internal or external TMS, BI…)
Alert the customer team proactively in case of deviation and propose backup solutions
Communicate with internal (regional and overseas) and external organizations, ensuring all communications generated in the dedicated IT solution (chat, tasks etc.) are handled in a timely manner
Create reports and analysis to give a consolidated vision of the flows for customer

Deliver Customer Satisfaction

Manage and support order management to ensure the best possible service level
Meet deadlines and ensure completion of customer service tasks within the expected time frames
Ensure a consistent and proactive communication flow with the customer
Act as a strong interface to resolve customer problems, manage troubleshooting and issue resolution
Prioritize, resolve and/or escalate issues to secure customers' interest
Represent Prism internally and externally
Act as Single point of contact for the customer
Identify and record savings (benefits tracking) delivered to the customers
Provide expertise in transportation management
Use of the technologies to be more efficient and work with the CBS

Contribute to improve Partners and Vendor performance

Monitor the 3PLs service quality and give feedback to the Operation of Contract manager
Monitor deployment and efficiency of new operational practices with the 3PLs
Contribute to formalize the SOP
Provide 1st level of support to the 3PL (operational inquiries, data matters etc.)
Set up and monitor corrective action plans in agreement with the 4PL HUB manager

The successful candidate

Experience in transport management / freight forwarding (air operations)
Knowledge in flow management/control tower / IFF contract operations management / key accounts
Knowledge in freight forwarding, AOG and oversize cargo will be an advantage
Proficiency in MS Office applications
Excellent command of written and spoken English
Must be willing to work on a 24/7 rotational shift
Customer centric mindset
Strong problem solving skills
Ability to work under pressure

YOUR MISSION

The Executive will Drive Supply Chain Operations excellence with country warehouse operations focusing in SCM cost, Productivity KPI and Logistics efficiency and provide guidance to Country by introducing and benchmarking best practices. Lead and implement continuous process improvement.

Improve overall inventory management (inventory profile, visibility and tracking of inventory availability).

Task 1: Import and Export Management

Monitor product import and export processes to ensure compliance with regulatory or legal requirements. Example: custom clearance procedure and custom’s clearance requirements such as application of VO, KSO, Form D/E/AI, Back to Back Form D/E, Invoice, Packing List and shipping terms and HS code declaration for SST/ duty.
Ensure timely declaration and meet custom compliances for both import and export.
Working closely with local custom broker and Puma compliance team to align on HS code classification and changes, and ensure system reflected latest update.
Ensure well maintain all logistics documentation for audit purpose. Example: Puma invoices, forwarder/ 3PL/ vendor invoices. packing list, General Shipping Instruction (GSI) and SOP.
In the event of any new contract take place, working with Puma compliance team to ensure all clauses are meeting trade compliances request and no conflict of interest with company.
Validate and ensure all the import/ export documents cost are correct billed.
Monitor on time freight booking from/ to forwarder until shipment arrive on time as per in-warehouse date.
Plan consolidation based on the origin of goods to maximize the container utilization without impact product launch date. This to ensure the country meeting the Global Container Filled Rate.
Coordinate with 3PL to complete the inspection process pertaining export shipment. Example: Indonesia.
Working closely with Purchasing team for better buying trend as per in-store date.
Ensuring on time invoice validate, accurate and submit to account payable.
Address recharge instruction accordingly to minimize logistic expense.
Working closely with Global Logistics to exchange info and updates, cascade down to team on all updates.
Resolve problems concerning all relevant logistics import and export.
Follow up latest FTA updates and share among SEA team.

Task 2: Warehouse Operation Management

Plan, manage and evaluate logistics inbound liaising with internal stakeholders and all aspect of 3PL. Example: priority receiving and sharing of Key Initiative (KI) style number.
Monitor warehouse workforce. Ensuring efficiency of 3PL and meeting daily productivity as per SLA.
Meet cost, productivity, accuracy and timeliness targets. Achieve maximum of resources and avoid wastages.
Identify savings by removing waste or unnecessary steps in the logistics process.
Deliver solutions to warehouse problems while maintaining high levels of quality and service within budgetary requirements.
Create policies or procedures for warehouse activities.
Validate discrepancy from fresh inbound and ensure necessary adjustment done in place, and PO closure.
Drive inbound audit check to ensure tally with fresh inbound.
Monitor and ensure GR/return scanning completed timely, clear system EDI error.

Task 3: Warehouse Inventory Management

Ensure timely completion of Goods Receipts by monitoring the warehouse space utilize against the priority shipment receiving.
Ensure the integrity of inventory good receipts accurate with the help of direct reports.
Identify and resolve any quantity discrepancies and ensure inventory and system records are match.

Task 4: Reporting, Process Improvement and others

Contribute to the creation and implementation of best practice logistics vision, strategy, policies, processes and procedures to aid and improve operational performance.
Ensuring the Logistic Finance Report, monthly inbound report, discrepancy report is accurate.
Analyze the financial impact of proposed logistics changes, such as routing, shipping modes, freight cost, product volumes or mixes.
To support and involve others activity when necessary. Example: B2C campaign and stock take.
Responsible for the preparation of appropriate and accurate logistics reports for upper management
Collaborate LOG report with related stakeholder for better insight on LOG status. Example: update daily the logistic report to power BI.
Ensure flow go smoothly, shelve down unnecessary process, move towards to lean and efficient processes. Enforce Standard Operating Procedures and KPIs.
Maintain metrics and analyze data to assess performance business growth and improvement. Analyze the impact of proposed changes.
Implement operational plans to improve and track all the work processes in compliance with organizational requirements.
