Physically deliver roll cages, flat bed trollies to wards and departments, break down roll cages, unpack and replenish cabinets, stores or store rooms in relevant wards and clinical departments whilst ensuring that first expired first consumed stock rotation is carried out continuously and any damaged/expired goods are appropriately removed from the point of care. Ensuring appropriate signatures are obtained. 10. To ensure that Wards and Clinical Departments have sufficient quantities of all product lines to carry them over weekends and Bank Holidays. 11. To ensure that deliveries received are correct against the requisition, including unit of issue. Investigate discrepancies and resolve queries. 12. Arrange uplifts and request credit where necessary for the relevant department. 13. To assist Materials Management Supervisor in assimilating, processing and keeping Materials Management performance data and records using key performance indicators (KPI). Complete all documentation necessary when required. 14. Carry out routine cycle counts to verify stock levels in the Omnicell cabinets and for non-cabinet areas carry out stock checks in line with the requirements of the company leadership team. 15. Control outstanding orders and escalate where appropriate. 16. Manage Supply X System for their area and escalate where appropriate. 17. At times of high demand or when the need for special requirements exist within a department or ward, attempt to source products from elsewhere in the Trust in collaboration with the Client an colleagues this may including asking neighbouring Trusts or the Nuffield for support. 18. To build and strengthen working relationships with customers. Proactively assess requirements and the use to which products are applied. 19. To assist the Materials Management Supervisor and ward managers with the promotion of product rationalisation, variation reduction and optimised inventory holding. 20. To provide a compliant and high quality service to agreed stock levels and timetable routinely meeting the required standards. 21. To achieve bi-yearly stock reviews 22. To assist ward and department managers in managing their purchases and levels of stock. 23. Implement product changes in the storage areas including re-labelling, new bar codes etc. as directed by the Materials Management Supervisor and in a timely fasion. 24. To assist the Procurement Department in the implementation of any new stock management or Materials ordering system, policy, process or initiative that may be adopted. 25. To generally act as liaison officer between ward and clinical departments and all sections of the Procurement Department and at all times to project a professionalism as the face of our managed service. 26. To provide cover for staff who are on annual or sick leave. 27. The post holder will be expected to carry out other appropriate duties as directed by the Materials Manager, which may include duties elsewhere within the Trust. 28. The contents of this post will be reviewed with the post holder in the light of future development of the Materials Management function. Customer Liaison 1. Work as part of a flexible, customer orientated team ensuring that a high quality of service is constantly maintained. 2. Liaise with all groups of staff within the trust and external trusts and agencies using the most appropriate method of communication (telephone, facsimile, electronic mail, written) Other duties to include 1. Co-operate with wards and departments in reporting accidents and/or serious defects in medical products or other supplies. Liaise with the appropriate distributor, supplier or the Medical Devices Agency to ensure compliance with Health and Safety and MDA regulations. 2. Mission of the role: The Supply Chain & Reporting Executive is primarily responsible to the Supply Chain Manager and the team in daily/weekly supply chain operational tasks and this includes all data collection, scrubbing, and identifying level 1 trends relating to supply chain and customer service operations. This role will be involved in discussions with peers and management to determine opportunities to streamline manual processes and develop automated relationships. Key Responsibilities:

• Perform data updates and extraction accurately on an ad-hoc, daily, weekly, monthly, and quarterly basis from multiple data sources and analyze large volumes of data for both Customer Service and Supply Chain.
• Work with the fulfillment center to ensure high level of data accuracy in inventories and stock movement. Ensure any reported discrepancies are resolved timely.
• Ensure accurate and timely issuance of Purchase Orders with U.S./China contract manufacturers as per ordering lead-time. Work with vendors to print and supply product labels to contract manufacturers / fulfillment centres on time.
• Coordinate product release with Regulatory and Quality partners before distribution can take place as part of the compliance control process.
• Liaise with Finance to ensure timely payment to contract manufacturers.
• Handle sample requests from internal stakeholders and liaise with the Fulfillment center to apply SAMPLE label before samples can be shipped out.
• Provide support in cycle count, compliance and SOP training, process improvements, participation in selection of logistics service providers, internal/external audits etc.

KEY QUALIFICATIONS

To undertake activities regarding stock movement analysis and re-order level assessment in conjunction with Trust wide clinical areas requirements. 9. Implement a programme of Supply Chain reviews to be undertaken with all wards and departments Trust wide every 6 months and to ensure all necessary paperwork is filed correctly. 10. To deliver goods to their correct end destination and obtain a signed delivery note where applicable. 11. Responsibility to keep up to date with product knowledge in order to provide advice and support to Trust wide Requistioners. 12. Responsible for ordering products using the Inventory Management and Trust systems, ensuring accuracy of quantities and prices in line with stock levels, and ensuring stock is cross-charged correctly through Finance. 13. To monitor and control replenishment levels for all ward areas Trust wide. To order and maintain optimum stock levels and replenish via economic ordering quantities and distribute out to all clinical areas. Take responsibility for all minimum and maximum top up levels by setting pre-approved limits and taking a fair judgement on appropriate expenditure. 14. Responsible for ensuring the Supply Chain team move and distribute materials using the appropriate manual handling equipment including trucks, trolleys and cages whilst observing Health and Safety Procedures at all times. Responsible for ensuring Health and Safety assessments are conducted regularly and all manual handling equipment including trucks, trolleys and cages are in a safe working order. 15. Responsible for annual stock take duties. 16. To be responsible for implementing and maintaining systems for filing of delivery notes and all associated paperwork. 17. To participate in training sessions to assist in personal and departmental development. 18. To train, educate and give guidance on ordering procedures to Trust personnel in the light of changing circumstances. 19. Responsible for monitoring contract compliance and advise Requistioners on the most efficient ordering procedures whilst adhering to Trust policies. 20. Arranging cover and relief duties at other locations to ensure the service runs efficiently. 21. Deal with queries in a professional and efficient manner, treating customers as you would wish to be treated and promoting a get it right first time ethos. 22. Provide advice and information by acting on knowledge gained and ensuring safe medical stock levels are maintained Trust wide. 23. To use all reporting programmes to interrogate systems for product analysis and provide usage data for budget holders. 24. Be responsible for the day to day security of all goods, equipment and materials within the Supply Chain working environment. 25. Co-Ordinate the response to Medical Device Notices and analyse spend data to identify where products have been purchased and ensure appropriate recall action is taken with immediate effect. 26. To actively contribute to the efficiency of the function by embracing the core values of the Departmental and National Strategies. To provide the level of service and performance to meet the departmental and National objectives as defined by the Director of Procurement & Supply Chain and Head of Supply Chain. This requires being flexible in approach to an ever changing, demanding and dynamic NHS working environment. 27. Work with the Procurement team and co-ordinate new product ranges as part of the Trusts savings work plan.
